The Role
The HVAC Dispatcher acts as the central link between our customers and our field technicians. Your mission is to ensure the right technician is dispatched to every job at the right time — maximizing productivity, delivering exceptional service, and keeping operations running smoothly.
Responsibilities
- Prioritize and schedule service calls to meet daily revenue and productivity targets.
- Assign technicians to jobs based on urgency, skillset, proximity, and availability.
- Monitor field activity and maintain ongoing communication with technicians throughout the day.
- Relay accurate job information, customer details, and expectations to technicians to ensure top-quality service.
- Track and record the outcome of each call; prepare summary reports for leadership.
- Provide updates to customers throughout the day and communicate with the customer about the technician's arrival time.
- Handle inbound customer calls, addressing questions or concerns, and providing follow-up services.
- Participate in daily meetings and ongoing training.
- Work closely with the service and sales teams to drive a smooth customer experience and assist with booking calls.

Competencies for Success
- Proven customer service experience in a fast-paced environment (HVAC or trades experience preferred).
- Technologically savvy — able to learn dispatch software, use phone systems, and type quickly and accurately.
- Exceptionally organized with the ability to multitask and manage shifting priorities with ease.
- Strong communication skills, both verbal and written.
- Natural problem-solver with the ability to stay calm under pressure and mediate issues professionally.
- Reliable team player with a “whatever it takes” attitude and a commitment to excellence.
- Goal-oriented and driven to contribute to individual and team performance.
